We use Deputy for rostering our administrative and nursing staff, and specialists.
  • Rostering.
  • Being able to sync it to our mobiles so we can see the roster at any time.

  • The specialists don't actually use Deputy and I am paying for them to use it as I need my other staff to see where they are.
It is suited to small practices that just want a simple rostering service. It would be good if it connected to MYOB Essentials for payroll.

Deputy is used by 3 key managers. Allows the managers to create shifts and view employees attendance, punctuality, and run reports to analyze paid time off. Unlike ADP's time keeping module, we do not enter pay rates in Deputy in order for these managers to use the system without having access to certain confidential information.

  • Export to ADP Workforce needs different columns than currently offered. We need earnings code 4 and not 3. Haven't figured out how to change it.

  • Report building isn't always self-explanatory.
  • Need help with building a report with both hours worked AND paid time off that can be uploaded to ADP
It's web based; managers can access it from anywhere that internet is available. Much easier to create shifts than ADP's timekeeping module that requires shift to be changed when employees are asked to start earlier or leave later.

Deputy runs our weekly schedule and day-to-day tasks for us. I create the rosters usually a month in advance and staff can confirm each shift. Staff can enter in their own unavailability which helps with my scheduling and it's easy for them to find their own replacement if they're unable to make a shift.

I spent a few weeks evaluating other solutions and found Deputy to be the easiest to implement and use. It integrates with Xero, has self-service features, and doesn't cost too much. There are occasional bugs with shifts left open and syncing data to Xero, but the support has been responsive.

Deputy is being used to track employee shift start and end times as well as breaks. It has conveniently been set up on a wall-mounted tablet, which also enables it to capture a picture when accessed. This prevents employees clocking in or out for other people. Managers are also able to easily publish schedules and access or edit timesheets and record time off.

Deputy is great for a small to medium-size businesses that has multiple locations. As part of the process, it will track how an employee clocked in/out and from what device. While you can also change the geofence settings to restrict clock-in access to a single device and ensure employees cannot clock in on their phone/off property, it still requires separate locations/areas to be set up for different departments.

I use Deputy to manage schedules, leave requests, and sick time for a team of 6. There is only 1 location and no departments. This scheduler allowed me to automate the scheduling process for staffing a public library. Previously I used an excel file and printed sheets to share the schedule, I wanted an app-based solution that would sync with a calendar.

  • Copy and paste scheduling is amazing.
  • The manager side UI needs improvement to be more intuitive.
  • I have difficulty syncing it to my outlook calendar.
  • The app and desktop environment don't sync perfectly and sometimes I need to push updates from the app when I've already done them via a workstation.
  • The billing process is annoying, I'd rather just pay once a year.
This app saves me at least a few hours each month of monotony. It always provides an attractive UI for my staff to submit vacation and leave requests. This app is not very well suited to those who want more fuller automation that requires pattern building to make their schedules. those who like to print out a paper copy of the schedule might not like the output options that Deputy provides.

We use Deputy for all staff scheduling, leave management, and company-wide communication. Deputy makes it simple to make changes or updates to the schedule and make sure the affected employees receive a push notification right on their phones. I can also easily send messages to individuals or groups within our organization.

Deputy is great for pulling out specific information whenever you need it. The software allows me to create custom reports to suit exactly what I need. I can also save and adjust the reports as time goes on and my needs change. Reports are easily exported into Excel so that I can filter and sort the data.

It is being used across 3 organizations we have. It addresses time clock management and where employees are clocking in.

  • Creating default holiday pay hour rules for certain employees.
  • Location of punch ins not always easy to track.
In general I think it is a great platform to use for small to large businesses as different departments can be created, different user roles can be created, and the system is easy to navigate. It would be nice if location restrictions could be put on for mobile phone punch ins (we don't like this option, but sometimes there is a line for people punching in at computer terminals).

Before Deputy, we used paper timesheets. This was a cumbersome process as our employees would forget to fill them in or hand in their timesheets altogether. We started using Deputy to streamline our timesheet process as well as reduce paper waste and we haven't looked back. Our employees downloaded the app onto their smartphones and are able to record their times with the information available to me immediately. Deputy integrates seamlessly with Xero and the payroll process time has reduced significantly with the use of Deputy. Deputy has many features. We don't use them all as we are a small business but can see how they can benefit businesses of any size in any industry.

  • When you Start of End a shift, can you make the 'Submit' button more prominent so they don't forget to press 'submit'.
Deputy is well suited to businesses that have staff that works at different sites/locations as staff can clock on and off on their own mobile device and a location/time stamp can also be viewed by the employee.

I use Deputy for my employees to sign in and out of work and lunch breaks. I also use Deputy to approve employee work hours so that I can process payroll. Deputy is also linked to Xero which has simplified our payroll process immensely. I also use Deputy to create a roster [that] can be seen by all my employees.

We currently use Deputy to manage our staff rostering and timesheets and integrate with MYOB for payroll. The added functionality of being able to assign tasks to not only individual employees but also areas is handy, along with the Newsfeed being able to keep all staff members updated easily.

  • Tasks: Being able to assign a task list to multiple areas instead of just being limited to one.
  • Leave Requests: the ability to have customizable cut-off times for submitting leave (e.g. Leave requests for the next week can only be submitted up to 5 pm on Thursday the week prior).
  • Tasks: Being able to assign tasks to individual employees and schedule when they receive the notification (i.e. if I am setting tasks at 11 pm at night for staff commencing work at 5 am).
  • The ability to have a designated (management) employee included on ALL Newsfeed messages regardless of if they have been included. This would ensure proper moderation of the platform.
Deputy is a great all-around program for managing not just rosters and timesheets but also being a communications platform for staff and management alike.

I am working in an accounting firm and Palisade is one of our clients. Deputy is not directly used by our firm but by Palisade Hotel. I introduced and implemented Deputy to Palisade Hotel 4-5 years ago and since then Hotel start managing their staff very effectively and managers are top of the employees' timesheet and rostered hours. We can now, track their time very easy, estimate future weeks salary cost and prepare very accurate payroll reports.

It is well suited for Hospitality with high number of casuals, part timers, and employees. Deputy kiosk makes it very easy for employees to clock in and out and prevents buddy punching. They can straight see their rostered hours and it makes it very easy for managers to review and approve timesheet at the end of the day. It is all on the cloud, fast and easy. When you are dealing with high number of employees and mostly on hourly base, things can get out of hand and Deputy makes it very easy to keep track of everyone's status. I think Deputy would not suit well for the businesses where most employees are full timers and tracking hours of each employee are not very critical.

We set up an off-shore team comprising our customer service team and other departments. We needed a platform to manage the scheduling (Workforce management) and leave balances of our entire off-shore team. We currently use a deputy to manage this. Our teams’ schedules change on a monthly basis and the deputy makes it easy for us to create rosters in advance and track who starts when, who is late, and who is on leave.

Scheduling: we use Deputy for scheduling our multiple teams. I like the way we can set up multiple teams and view their schedules easily. Our most used feature and I find it good. Timesheets: Timesheets are automatically created and are easy to review, edit and approve.Shift start and end: Employees can start their shift and end their shift easily, this allows us to see if they are working OT, starting early or late. UI: overall I like the UI, it’s simple and easy to use. Areas to improve: The integration page is not very flexible and limited, integrations can be improved.

The main reason why we use Deputy is to track the hours our employees work to specific job sites. With this product, we can schedule employees and also have them manually enter timesheets. We also use Deputy to create different types of reports, and you can modify the reports for your needs. Deputy also makes it easy for us to onboard new employees online, which saves a lot of time for us and the employees.

I looked at and tried out multiple time tracking apps before choosing Deputy, and so many apps did not suit our needs as a construction company and personal preferences. Deputy is very adaptable to your needs, and they really want to be the best time tracking app out there. If something doesn't suit your needs, they try to improve the product.

We schedule our entire staff through Deputy and use the journals as a method for recording disciplinary actions and the news feed for company communication. We have different positions, responsibilities, and skills tagged by employees. Staff can request time off for approval by management, and their annual PTO balances are tracked.

Deputy is perfect for a part-time workforce when managing younger employees. The mobile app is extremely user-friendly and allows for staff to communicate with each other and develop a sense of community without being bombarded with messages that may not be relevant to them. Scheduling is very easy with templates and auto-fill as long as you have your employee training and availability up to date.

It is being used by the whole organisation for registering their start and end shifts and as well as applying for leaves, communication between employees and management and rostering. Deputy has allowed my business to cut out on all the manual paperwork and also it stores all the records for each individual employees. Each employees can have access to their roster and can make or apply for changes anywhere and anytime through their app. So the convenient and easily access to the app has been really helpful.

  • Integration to Xero - not all the payroll items appear on Xero eg uniform allowance - we have to manually add it to Xero.
  • Functions missing in Deputy for Xero payroll in our industry.

  • changing employees roster through the app isn't working as I have to request permission from the employees rather than just allocating it.
Overall Deputy is a great software as it is user friendly and reliable. A lot of the functions are well designed and really handy for the day to day operation for managing the employees. It is also handy how the shifts are able to be integrated to our payroll system Xero to cut out the time to process the payroll. There are some areas which I have stated earlier which I think Deputy could look at closely to further improve their software. Price wise, I think it is a bit high especially if you have lots of employees, so maybe they could factor these carefully going forward.

We utilize Deputy as our solution to a traditional time clock system. We had issues with our previous systems not providing a robust feature set. Deputy provides a traditional "punch clock" solution alongside "web clock" solutions for our customer service and off-site staff. The overall scheduling features have been impressive, allowing us to generate disparate schedules that we can cycle between according to the staffing needs for each day.
  • Deputy is very good at allowing us to structure and maximize a staffing schedule for our production floor. It provides very useful features to ensure that a schedule's open seats have all been filled with available staff.
  • It provides a very flexible system for adding new types of working and non-working time types. This is very valuable for us, as we sometimes have unique needs as a small company; Recently we went through a physical floor redesign where we had associates that were paid off-site on an "on-call" status. We wanted to keep track of these hours separately and Deputy allowed us to do that seamlessly.
  • The process for approving and exporting payroll hours is very user-friendly. We've had great success training our managers on the system. The export fields are a huge convenience for us, as we export the data to be handled by an external HR program.
  • Their behind-the-scenes API was a must-have for us. We were able to build a middleware program between Deputy and our HR software to both audits and process the data in a clean and efficient manner. Having that access allowed us to cut hours off of payroll processing each week.
  • Deputy's UI is constantly changing, which is good, but there are still a lot of gains to be made. Some areas are a little opaque when it comes to training new users.
  • The system for applying types of available time off (vacation, sick, bereavement, etc) to employees in the system needs work. We shouldn't need to upgrade to an enterprise solution just because we want all of our employees to have the same set of time benefits by default. We should be able to set up a template that can be applied to new employees, but Deputy does not currently allow for this.
  • Deputy needs to improve the ability to round up and clean up/archive old data. We had an instance where a manager incorrectly set up a bunch of new time types during COVID to cover the governmental time benefits at the time. There was no way to remove/hide/delete those types, so we're stuck with them forever now. It has made it extremely confusing for other managers moving forward, even after we renamed them.
Deputy is really great at managing large workforces, especially across multiple locations. The system exceeds expectations when it comes to managing roles in a company; It makes it easy to cover jobs without concern. However, it is not as great at managing a workforce with static responsibilities. It leans heavily towards the idea of "filling roles with bodies" rather than "each worker has a unique role." That may just be a factor of the type of work we do, but it means that while Deputy is great at what it does, it can be a little awkward for us to use. For example, it is not really appropriate in our situation for Deputy to offer to "fill a role" from an absentee with other workers; They don't have the same skill set, but Deputy doesn't make it particularly easy to define all of that. If we had a lot of generalists in our employ, I could see how it would make things much easier.

We switched from OnTheClock to Deputy as we wanted deep integration with our payroll service and with our Identity Management System (Azure AD). The time-keeping features seemed good and the approval system looked good. It was all web-based which was a plus. It costs more, certainly, but if it saved me time on the payroll I was willing to pay for it. The onboarding process was fairly straightforward. You create an account as you would anywhere by filling in your company details. Deputy does have quite a few different pre-packaged locale-specific timekeeping/tracking rules. An example is the California overtime rules. I liked the break-tracking system where you can just have a checkbox where the employee attests they took their breaks as [opposed to] having to have everyone clock out for a few minutes [which] is silly and cumbersome [I think]. The approval system is cool but I [personally] don't like the fact it doesn't snap to the current pay period when you opened it. It takes you to where you were last from an approval standpoint [I've found]. There is a "next week/last week" slider but if we're using semi-monthly pay periods, as we are, then these do not align [ I believe]. [In my opinion], the software should snap to our defined pay periods when selecting next/back on the approval system. It does integrate [well] with OnPay [which is] our payroll system so there is that at least [I believe]. The hours are brought in with a click of the button. One core feature I wanted was [the ability] to use the SSO option with Azure AD, which Deputy [I believe] says it supports. I have [personally] spent months on this trying to get it to work. [The way I see it] Deputy's setup guides do not match their product's GUI [I have found] but I thought I would be able to get around it and figure out where things go. [From what I discovered] SSO would not work. I tried to get help from support and eventually I got escalated to someone [I believe] appeared to know what they were doing far more than the other people who were pretty useless [in my opinion]. [Speaking personally] I had to rope in Deputy's CEO before this happened though, via LinkedIn, as the normal channels for support were going nowhere [I believe]. Unfortunately, the issue was never resolved [to my satisfaction]. I have [personal experience with] setting up Azure AD SSO with numerous other apps we use and the process is always the same so [in my opinion] I don't feel I set it up wrong. [As far as I'm concerned] either the data provided is incorrect or Deputy's system is broken. I [personally] suspect it has to do with the fact that Deputy gives you regional servers to use and also a personalized FQDN you can use [which] I believe is related. In the end, to this day, I still do not have SSO working [to my satisfaction]. [The way I see it] Deputy loses a lot of points on my review for the way this whole experience relating to SSO not working [the way I see fit]. [As far as I'm concerned] it took way too much effort to get to someone knowledgeable [and] the issue was never resolved [to my satisfaction] even after hours of effort on my part working with support over something that normally takes about 5 minutes to set up with any other Azure AD SSO enabled app I've [used]. [In my opinion], the lack of ability to carry the ball to the finish line leaves me unhappy with what else will be left in a similar condition that might I run into payroll-wise. Overall [I found] the software itself seems capable and I think people with large teams will enjoy the scheduling elements that I don't really use. [In my experience] the costs can scale up quickly though so be careful there. [I believe] if you are someone who needs a lot of hand-holding, I would warn you that if a IT pro had this much trouble with Deputy's software then I fear you may fare far worse [in my opinion].

[My own feeling on the subject is] that large teams will probably enjoy the features much more than a smaller team. [I've found] it has a lot of features geared towards big teams and those are not things you can "opt-out" of from a cost/tier standpoint [as far as I'm concerned].

We use Deputy to roster for a multi-site company. Within each site, we have multiple areas. Staff use the kiosk to clock in - a photo is taken at clock-in, this helps us know staff aren't clocking in each other. Staff are required to report any Covid-19 symptoms at clock-in and notify managers if reported, this creates responsibility for the Staff members. Integrates with Xero and makes payroll easy. Integrates with our POS so we can see wage cost vs sales to ensure we always have the right amount of staff on any day of the week. We also use the News Feed to provide company updates - staff can see this on their app and also when they clock in on the kiosk, staff can confirm they have seen the posts so we know who has received the updates and who hasn't. The programme is not perfect, it's not 100% designed for hospitality that trades nearly 24hrs a day but it is a powerful tool that we can manipulate to work for us.

Would be great to see better support for companies that work past midnight. Being able to define what a companies day is based on times rather than purely dates. POS integration - allow one register to relate to multiple areas within a location.

We use Deputy to manage multi-location teams to record hours and locations worked. We also use Deputy to schedule shifts for self-employed teams where each individual's pay is linked to multiple areas they work at. The exports of timesheets are then used to import monthly payment amounts into a payroll system. The whole process is error-free and it takes minutes to process every month.

Deputy is very good at allowing remote management of teams and the geo-locations of staff shifts, which has been very helpful at times of Covid. Pre and past shift questions are great for capturing some key data relating to daily operations, and Covid questions. It also allowed us to capture staff's confirmation that they are aware of the most recent updates relating to changes in prevention measures around the spread of the virus. We tried to use Deputy to manage daily tasks for staff on duty. This functionality did not work for us and we used a different system for managing these.

  • UX/UI, in general, is really really rough - way overly complicated to pull data or complete payroll/approve hours - buttons in weird places dropdowns, integrated calendars all super confusing - obvious that the product managers are not using the system
  • Employees should be able to enter reimbursements in the system
I just find it difficult to use - doesn’t integrate well for my industry/California state laws either, so I have to do a lot of additional work to figure outbreaks, etc.

We use Deputy primarily for scheduling staff and time keeping. I really like the ease of use for scheduling, I often just use the copy and paste feature to get the schedule for the coming week made! It never takes me more than 10 minutes to make the schedule with Deputy. We also use the Deputy app to clock in and out, audit timesheets, and report time for payroll. It [is] super straightforward to use and easy to navigate. If someone forgets to clock in or clock in late it's very easy to edit their timesheet. Another feature that is SUPER handy is the Newsfeed. I use this for all company updates with our employees. It's so handy and effective. Before I was sending out mass text messages, which was such a pain! The phone app pushes notifications when I send out an update or publish the schedule, as well as sends an email to all users. It has really helped with our overall communication within the company. From time to time we use the tasks feature as well. It's great for assigning tasks to a specific work area, shift, or employee.
  • Employee Scheduling - So straightforward and easy to use! Love the copy & past feature!
  • Timekeeping - the App & Kiosk are perfect for employees to clock in and out in a matter of seconds
  • Company Communication - the Newsfeed feature makes it easy to keep everyone up to date on company announcements
  • Task Management - simple to use task lists help keep my team organized
  • Direct Messages - I'd love to just direct message employees.
  • Training - Perhaps some onboarding documentation or a create your own training program. I feel like that is the next step in the evolution for Deputy. I would like the option to upload documentation and videos and then create a small quiz per "section" I'm currently using Google for Quizzes, I think Deputy can add this and charge more for it!
I've used other platforms in the past like Plan Day and Hubstaff - but Deputy works best for retail, food service, and other shift work professions. I own a retail store, so the scheduling system and its ability to assign tasks really work for what I need. I don't know how well Deputy would suit an agency with freelancers - as Hubstaff does that very well, but I do see the potential to offer a version of Deputy that targets that audience.

Deputy and ADP Don't Mix

  • PTO accruals do not transfer over to ADP
  • Running an export for payroll does not work, be prepared to do payroll manually on a spreadsheet.
[To my mind] it just doesn't pay to use [Deputy] with ADP. ADP promotes Deputy on their marketplace but the two do not talk to each other [from what I've discovered]. [I have found the following problems thus far:] PTO requests and accruals need to be done manually; payroll needs to be done manually because the old export was discontinued. [In my experience] overtime is always messed up because Deputy can't figure out how to run a Sunday through Saturday week with a night shift crossing midnight.

Deputy is used for scheduling my employees shifts allocating them to our different work sites. We also use Deputy to log on to each work site and track the amount of hours for each employee. The pay that the employees receive is based upon the hours they have logged in on Deputy and this program easily integrates with Xero. Every one of our employees has the Deputy app on their phone; therefore it is used by our entire organization. Deputy is good for when we are doing cost plus jobs and it easy documents and transfers the hours over to Buildxact therefore telling us exactly how many hours to bill for. I also use Deputy to send messages to all the employees either as a group or as individuals.
  • Approving and editing timesheets is fast, easy and pain-free.
  • Deputy support are always available and are very helpful.
  • The Deputy app is set out appealing to the eyes and is easy to navigate.
  • When a shift has been scheduled for a person it would be good if on the app they had the choice to log on to another area that is not the scheduled area.
  • It would be good if when you were scheduling shifts you could choose multiple locations to be displayed as opposed to what you have at the moment which is all locations are listed but you can hide the drop down scheduling area but that still leaves a bar at the top and is sometimes confusing when scheduling.
  • Also when scheduling it would be good if you could choose the colours of the shifts listed so you could make different locations different colours or different staff different colour and they don't need to be published for this to happen.
Deputy is well suited to the residential building industry as logging on to each individual site allows you to keep track of the hours it is costing you per job.

We use it as an add-on for our clients in Xero that require rostering, etc. The chat support can be slow and many times the issue isn't resolved. The app lacks simple features that would allow for a better user interface and engagement. The lack of intuitive features and the difference in cloud-based versions is confusing. Integration to accounting packages is clunky and not user friendly

For rostering purposes, it is fine. Payroll integration and reporting are hugely limited due to multiple factors.
